Expenses and Petty Cash Polices
The Essex Association is implementing two new policies to increase financial and administrative controls, improve efficiencies and meet Charity Commission requirements. Both polices come into effect on 1 January 2012. The policies detail the procedures for claiming expenses and petty cash and include a template expense claim form in Excel which should be completed in all cases.

Annual report 2011
The 2011 Annual Report will be prepared through January and February 2012. Please ensure that you notify your District Secretary at or before your ADMs of any information changes (such as Sunday Service and Practice times and changes of Tower Correspondent) that you would like to appear in the new report. Membership details included in the report will be for those who were recorded as current members during 2011 (not those elected at 2012 ADMs). District Secretaries have been sent copies of the current 2010 report including any changes notified during 2010 for update and return to the Report Editor. Please coordinate your tower's changes through your District Secretaries/Treasurers so that they have the updates for each District ready to provide to the Report Editor by the end of January. Late changes to the report (e.g. tower correspondent and ringing times) should be notified to before the end of February 2012.

If you cannot find a form for 2011, copies (pdf and editable rtf) are available for download, or send an email request to . Robert Woodd-Walker
I am very sorry to report that Robert Woodd-Walker of Colchester died at home on 15th December.
His funeral will be held at 11am on Friday 30th December 2011 in St Botolph's Church, Colchester.

Nominations for the 2012 AGM
Nominations for Association officers (Master, Secretary, Treasurer, 3 Property Trustees, Technical Adviser, Education Officer, Public Relations Officer and 2 Independent Examiners) must be received by the Secretary by 1 February 2012. Nominations may be made at a district meeting or can be sent directly to reach the Secretary before the deadline; please remember to include the name of the proposer and seconder. A nomination form is here.
Information about any nominations for Life membership of the EACR will be available at the Annual District Meetings.
Elections will take place at the 2012 Annual General Meeting on 7th May, Bank Holiday Monday, at Chelmsford Cathedral.
Notices of motion for the AGM (items for debate or proposed rule changes), sponsored by at least 2 members, must also be received by 1 February.
